Lakeshore Talent is working with a fantastic oil and gas company in Denver to fill their opening for an Administrative Assistant!
The ideal candidate would be a team player, comfortable with a variety of duties (from filling in for the receptionist to assisting the CEO), ability to work with a variety of individuals with strong relationship building skills, and strong communication skills.
This position will be hybrid, working on-site in the Denver area Monday-Thursday (remote on Fridays and ending the work week at 12pm every Friday). This is paying $55,000-$60,000 base with bonus opportunity and will be granted equity in the company.
Job Description
First and foremost, this role is responsible for being a best in-class liaison and representative of the Executive team, their families, and all organizations they associate with. Supporting the Executive Team not only means filling requests as soon as they are made but also proactively anticipating needs before they are known. This role is also responsible for providing outstanding service as the first point of contact and first impression on behalf of the Executive Team and other members of the Senior Management Team.
Essential Duties and Responsibilities

Research, schedule, and organize complex activities such as meetings, travel, and department activities for the Executive Team and members of the Senior Management Team.

Assist the Executive Assistant to the Chairman and CEO and other support to the Senior Management Team in the management and coordination of their schedules.

Draft, edit and finalize correspondence for the Executive Team and other members of the Senior Management Team, to include word processing/typing of letters, memos, forms, policies and procedures (includes handling of confidential information).

Assist in developing, organizing and maintaining a corporate filing system.

Update, organize and maintain an Outlook database of industry contacts, department activity, and market activity. Utilize Excel skills to create, manage, and export lists from the contact database.

Maintain and update the company CRM system used for capital and investor tracking.

Draft, edit and finalize visual and written presentations and communications for the Executive Team for both internal and external audiences regarding both personal and professional matters.

Assist in coverage of the front desk during the receptionist’s lunch hour, as well as days the receptionist is out of the office.

Sort incoming mail and accurately distribute mail and packages to the appropriate employees. Send out packages via FedEx, UPS and USPS.

Provide arrangements for onsite and offsite meetings and schedule company-wide use of conference rooms.

Assist in answering the phone for the Executive Team and other members of the Senior Management Team. Take messages or field/answer all routine and nonroutine questions.

Work independently and within a team on special, nonrecurring, and ongoing projects. If tasked, act as a project manager for special projects.

Assist in the organization of some personal matters leaders.

Research, coordinate and execute the Executive Team and their family member’s housing, lodging, commercial airfare, dining reservations, transportation and any other needs that may arise.

Maintain company phone list and employee directories.

Set up and prepare workstations for all new hires.
Education, Skills and Experience Required

Bachelor’s or Associate degree required.

Advanced skills in a variety of computer software applications (MS Outlook, Word, Excel, Access, PowerPoint, etc.).

Must have a high level of interpersonal skills to handle sensitive and confidential situations.

Position continually requires demonstrated poise, tact and diplomacy.

Must be able to interact and communicate effectively, positively and professionally with individuals at all levels both within and outside of the company.

Strong written and verbal communication skills, including excellent spelling and grammar skills.

Possesses a strong desire to work as a team and collaborate with team members across all departments of the organization to achieve goals and problem solve.

Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in an extremely fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.

Strong time management and organizational skills required.

Demonstrated ability to maintain a consistent quality in work output and take the initiative to follow through to completion.

Prior executive level or other administrative experience preferred, but not required.
