Calling all proactive, enthusiastic, and experienced Executive Assistants! We have a new amazing opportunity for you in Manhattan! Lakeshore Talent is partnering with an tech-based unicorn startup to match a highly skilled and experienced Executive Assistant with an exciting, upbeat, and growing company.

We are looking for a tech-savvy, experienced EA who has experience supporting multiple executives in companies that are rapidly scaling. International travel scheduling and meeting coordination across time zones will be essential! This will be primarily in-office with the ability to work from home up to 2 days a week certain weeks.  

 

DESCRIPTION

As an Executive Assistant you will play a crucial role in supporting 4 C-suite executives. You will be responsible for ensuring efficient organization and coordination of their schedules, travel (domestic and international) arrangements, and large off-site meetings. You will also be responsible for preparing meeting agendas, and engaging with prominent business leaders and clients. This role requires a professional who thrives in a fast-paced environment while maintaining an upbeat personality.

 

RESPONSIBILITIES

  • Calendar Management: Effectively manage and prioritize the diaries of four senior members of staff, coordinating appointments, meetings, and events. 

  • Travel Arrangements: Coordinate travel logistics, including flights, accommodations, transportation, and itineraries, ensuring smooth and efficient travel for executives. 

  • Meeting Coordination: Organize and schedule meetings, both on-site and off-site, including large-scale events, ensuring appropriate venues, resources, and accommodations are arranged. 

  • Agenda Preparation: Develop and distribute meeting agendas in advance, collating relevant materials and ensuring all necessary information is available to participants. 

  • Relationship Management: Engage with high-profile business leaders, clients, and stakeholders, representing the company professionally and building strong relationships. 

  • Communication and Correspondence: Handle executive-level communications, including phone calls, emails, and other forms of correspondence, ensuring prompt and appropriate responses.

 

YOU’LL BE A GREAT FIT IF

  • You have a minimum of 5 years of proven experience as an Executive Assistant, supporting multiple senior executives simultaneously.

  • You have exceptional organizational and time management skills with the ability to effectively prioritize tasks, handle multiple demands, and meet deadlines.

  • You are proficient in using various technical systems such as Google Workspace (including Google Calendar, Docs, and Sheets), Zoom, Slack, and other relevant software.

  • You bring excellent verbal and written communication skills, with the ability to interact confidently and professionally with individuals at all levels, including senior executives and external stakeholders.

  • You have the ability to show initiative, take ownership of tasks, and work independently, anticipating needs and proactively addressing challenges.

  • You have a strong sense of discretion and the ability to handle sensitive and confidential information with professionalism and integrity.

  • You are flexible and adaptable to changing priorities and fast-paced environments, with a positive attitude and a willingness to learn and grow.

Salary for this position is $106,000-$119,000 with a 10% annual bonus.
