Lakeshore Talent has partnered with a private famly foundation on North Michigan Ave in search of an Executive Assistant/Personal Assistant. This is a direct hire position!

DUTIES

  • Pay bills and perform minor accounting duties
  • Posting and processing journal entries to ensure all business transactions are recorded
  • Coordinate meetings including scheduling, sending reminders, and preparing necessary materials and details including but not limited to agendas, catering, audio/visual needs, presentations, etc.
  • Manage executive calendars including making/changing appointments and prioritizing the most sensitive matters
  • Coordinate domestic and international travel including itineraries, flights, ground transport, accommodations, and reservations; track flights and assist with last-minute changes as needed
  • Act as an office manager by keeping up with office supply inventory
  • Organize and maintain office notes and files
  • Use various software including word processing, spreadsheets, databases, presentation, accounting, and client relationship management
  • Work with outside accountants, lawyers, and external partners in an efficient and professional manner
  • Provide general administrative support and assist with ad hoc projects

 

REQUIRED SKILLS

  • 5 – 15 years of executive support experience
  • Experience in a family office setting or professional services industries strongly preferred
  • Must be extremely trustworthy, ethical, and maintain the utmost of confidentiality and discretion
  • Proficiency in Microsoft Office Suite, QuickBooks, and CRM systems
  • Independent, intuitive, and hard-working
  • Must have a service mentality that no task is too big or small
  • Flexibility to work non-standard hours and be available for last-minute scheduling and travel changes
  • Bachelor’s Degree preferred

80K – 90K depending on experience
