Lakeshore Talent is partnered with a large and well-known healthcare system in their search for a Program Coordinator to support their Continuing Medical Education department. This position will be based in Downtown Chicago, IL with remote/hybrid flexibility.
Shift: Monday-Friday 8:00am-4:30pm; weekend hours are only required when there are scheduled Continuing Medical Education Events
Contract Length: 3 month contract with potential for extension and/or permanent hire at the end of the contract!
Pay Rate: $26-$28 per hour (depending on experience)
Responsibilities:
- Participate in preparing programs budget, create and monitor budget statements, assist in designing reports
- Monitor budget and general ledger detail for accuracy; identify variances and report them to the department leadership; has a complete understanding of the department and company financial policies; create purchase orders; and process invoices for payment against purchase order or general expense reimbursement
- Research and develop internal and external communications including presentations, speaking points, correspondence and other written materials
- Participates in meetings
- Represent the department, program or project with various level of personnel both internally and externally
- Respond to unanticipated complex issues and manages critical and confidential information
- Receive, screen, distribute or file all incoming correspondence and other mail
- Maintain a sufficient inventory of all office supplies and printed forms
- Provide calendar management support for the department leadership; facilitate and schedule meetings; book meeting rooms; arrange for catering; confirm attendance; and support in preparation and distribution of materials as necessary
- Coordinate large scale complex events, involving multiple parties, including foreign guests
- Assist the department leadership in maintaining department personnel files and mandatory certification/licensure lists and track staff continuing education requests
- Assist in creating professional education development plans
- Follow up with department staff, to make sure deadlines are kept
- Utilize advanced Microsoft Office applications to design and lay-out presentations and reports
- Administer and tracks expenses, and allocates them to appropriate account
- Communicate (verbal and written) with a wide range of departments, employees, vendors, and physicians; and serve as a liaison on behalf of the department leadership to foster strong working relationships
- Create, write, edit and post articles, news, and program summaries to website
- Ensure all contents and contact information are up to date
- Participation in creating Marketing strategies
- Manages telephone operations; answers, screens, and directs telephone calls
Qualifications:
- High School Diploma or GED equivalent required
- Bachelor's Degree preferred
- 3-5 years of experience with proactive event/program planning and execution required
- Experience with Continuing Medical Education and healthcare preferred
- Strong knowledge of Microsoft Office required
- Ability to organize and think independently with orientation to details and deadlines required
- Strong interpersonal skills required
