Administrative Assistant to CIO

Location: Downtown Denver, CO 80202

Schedule: Monday–Friday, 8:00 AM–5:00 PM; hybrid with a minimum of 3 days onsite, (expect full weeks onsite when the CIO is in town)

Compensation: $26 – $41 per hour equivalent to 54,000–85,000 base salary plus 15% target bonus; This will be an hourly position.

Travel: 2-4 offsite events annually (typically CO, CA, or TX) — this role helps plan events and attend

Position summary

We are seeking a highly organized, proactive Administrative Assistant to provide high-level support to the Chief Information Officer (CIO) and help enable the effectiveness of a larger IT leadership team. This role is ideal for someone who thrives in a fast-paced environment with shifting priorities, brings strong executive support experience, and is comfortable supporting a technology organization. You’ll manage complex calendars, travel, expenses, meeting logistics, and follow-up items while exercising sound judgment and discretion with confidential information.

Key responsibilities

  • Manage and protect the CIO’s calendar across a hybrid, multi-location environment; resolve scheduling conflicts and shifting priorities.

  • Coordinate internal and external meetings (virtual, hybrid, and onsite), including agendas, materials, conference rooms, catering, and communications.

  • Arrange travel (flights, hotels, ground transportation, itineraries) and handle last-minute changes smoothly.

  • Prepare, submit, and track expense reports and related administrative documentation.

  • Keep the CIO organized and prepared for key meetings by compiling briefing materials, presentations, and background documents.

  • Monitor communications and follow-up items; maintain action lists and ensure commitments are tracked to completion.

  • Support the operating rhythm of the IT leadership team (leadership meetings, planning sessions, team events, recurring cadences).

  • Provide limited administrative support to other IT leaders as needed, while keeping primary focus on the CIO.

  • Set up and troubleshoot routine meeting technology needs (Microsoft Teams, displays, A/V, conferencing tools) and coordinate with technical support when needed.

  • Build and maintain professional documents including presentations, spreadsheets, reports, and schedules using Microsoft 365 tools.

Required qualifications

  • 5+ years of experience supporting a senior leader/executive in an administrative or executive assistant capacity.

  • Strong proficiency with Microsoft 365, especially Outlook, Teams, PowerPoint, Excel, and Word.

  • High confidence with technology; comfortable supporting an IT leader and working around collaboration/conference-room tools.

  • Strong organization, prioritization, and time-management skills with excellent attention to detail.

  • Professionalism, discretion, integrity, and strong judgment with sensitive/confidential information.

  • Clear, effective communication skills and the ability to build relationships across all levels of an organization.

  • High school diploma/GED required (additional education is a plus).

Preferred / nice-to-have

  • Experience supporting leaders in an IT organization or strong interest/education in IT.

  • Experience planning offsites/events and coordinating logistics across distributed teams.

  • Industry knowledge (energy/industrial terminology) helpful but not required.
