Executive Assistant to C-Suite

Location: Denver, CO (Onsite)
Reports To: SVP, Human Resources
Employment Type: Full-Time (Contract to possible hire) 
Pay: $43 – $48 per hour depending on experience
Hours:  8 – 5

Position Overview
We are seeking a highly experienced and proactive Executive Assistant to provide comprehensive support to C-suite executives in a fast-paced, global organization. This role requires a polished professional who can confidently interact with senior leadership, Board members, shareholders, and cross-functional teams. The ideal candidate thrives in a dynamic environment, demonstrates exceptional discretion, and is capable of managing complex priorities with minimal direction.

Key Responsibilities

  • Serve as gatekeeper for C-suite offices, managing access and prioritizing executive time.
  • Coordinate complex calendars, including domestic and international travel, on-site and off-site meetings, department events, and leadership activities.
  • Manage travel logistics end-to-end, including booking, approvals, troubleshooting, and liaison with travel vendors and corporate card providers.
  • Compile, reconcile, and submit travel and expense documentation to Accounts Payable.
  • Execute departmental purchasing activities and track related expenses.
  • Ensure appropriate IT support and coordinate technical needs for executives and events.
  • Develop, maintain, and organize electronic files, databases, shared drives, and departmental documentation.
  • Respond to routine and non-routine inquiries with professionalism and sound judgment.
  • Identify gaps in executive support processes and proactively implement improvements.
  • Lead and manage special projects, including coordinating presentations, organizing events, and disseminating executive communications.
  • Support daily needs of traveling executives and resolve booking or logistical challenges.
  • Prepare reports, presentations, and materials for executive and board-level meetings.

Qualifications

  • 8–10 years of experience supporting C-suite executives, with increasing levels of responsibility.
  • Proven experience interacting with Board members, shareholders, and senior leadership teams.
  • Demonstrated integrity and discretion in handling confidential and sensitive information.
  • Exceptional organizational skills with strong attention to detail and ability to meet deadlines.
  • Ability to manage multiple competing priorities in a high-pressure environment.
  • Strong interpersonal and communication skills with a collaborative, team-oriented approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio) and related business software.
  • Demonstrated ability to interpret data and provide meaningful insights to leadership.
  • Self-motivated, solution-oriented, and committed to continuous process improvement.
  • Ability to create polished presentations and executive-level reports.
  • Occasional travel required.
