Executive Assistant – Contract (Maternity Leave Coverage)
Location: Denver, CO
Compensation: $45/hour
Employment Type: Contract (4–6 months)
Start Date: August 2025 (Includes a 1-month training overlap with current EA)
Travel: Required (2 trips per year, approx. 3 nights each)
Lakeshore Talent is seeking an experienced and highly organized Executive Assistant to support a senior executive at a fast-paced, mission-driven organization based in Denver. This is a contract role covering a maternity leave, offering the opportunity to work closely with top leadership and gain insight into operations, strategy, and team coordination at a high level.
About the Role:
This position provides comprehensive administrative and strategic support to the Chief Operations Officer and additional senior leaders. The ideal candidate thrives in fast-moving environments, anticipates needs, and excels at juggling multiple priorities with professionalism and discretion.
Key Responsibilities:
Executive Support & Coordination
- Manage complex calendars, schedule meetings, and book multi-city travel
- Prepare and review sales reports, PowerPoint decks, and meeting agendas
- Process and approve expense reports for executive leadership and their teams
- Take notes and track follow-ups for weekly leadership meetings
- Provide internal meeting prep and presentation support for executives
Event & Meeting Planning
- Lead logistics for quarterly team meetings, leadership summits, and town halls
- Coordinate planning, scheduling, catering, travel, and materials for large-scale internal events
- Serve as on-site and day-of event coordinator for both local and offsite meetings
- Track team milestones, birthdays, and anniversaries for internal recognition programs
Office & Administrative Operations
- Order office supplies and manage vendor invoices
- Sort and distribute incoming mail for internal departments
- Greet and host guests in a professional, welcoming manner
- Maintain shared workspaces and meeting areas in a polished and organized state
Qualifications:
- 5+ years of Executive Assistant or business operations experience, preferably supporting C-suite leadership
- Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, OneDrive)
- Experience planning and executing complex events and multi-city travel coordination
- Exceptional organizational skills, discretion, and emotional intelligence
- Excellent written and verbal communication skills
- Strong initiative and ability to work autonomously in a fast-paced environment
- Flexible schedule, including availability outside traditional business hours if needed
- Reliable transportation for occasional local errands
- Notary Public (State of Colorado) preferred
Additional Details:
- This role is fully onsite in a private executive suite at a centrally located Denver office
- The role requires two business trips during this coverage with executive leadership (approx. 3 nights per trip)
- You’ll receive approximately one month of dedicated training with the outgoing Executive Assistant to ensure a smooth transition
