The Part-time oil and gas Administrative Assistant is responsible for ensuring the accurate preparation and timely submission of all production and regulatory reports for designated territories. This position plays a key role in maintaining compliance with state and federal reporting requirements, supporting procurement workflows, and facilitating accurate and efficient accounts payable processing.

The ideal candidate would have a strong administrative and reporting skill set, be extremely comfortable utilizing Excel, and detail oriented.

Pay: $18-$21/hr

Hours: 24-28 hours a week (exact schedule can be flexible once mutually agreed upon, but would be expected to work during normal business hours)

Location: On-site, Roswell, NM
 

Key Responsibilities

  • Prepare, validate, and submit monthly production reports to overseeing government agencies.

  • Prepare and submit regulatory forms and sundries to NMOCD and the Bureau of Land Management (BLM).

  • Track and analyze daily production variances, maintaining accurate variance spreadsheets for management review.

  • Create and manage purchase requests within NetSuite, and distribute approved purchase orders (POs) to vendors.

  • Receive and close POs upon delivery of goods or completion of services.

  • Ensure proper cost coding of invoices and submit for processing following Production Supervisor approval.

  • Collaborate with vendors to resolve accounts payable discrepancies or other related issues.
     

Qualifications

  • Minimum of 2–4 years of experience in administrative assistant roles that required heavy reporting and excel duties.

  • Prior exposure to accounts payable (AP) processes preferred.

  • Proficiency with Microsoft Excel (including pivot tables, formulas, and data analysis).

  • Experience using NetSuite or similar ERP systems preferred.

  • Familiarity with regulatory reporting portals preferred.

  • Strong attention to detail and accuracy.

  • Excellent organizational and time-management skills

  • Ability to prioritize tasks in a deadline-driven environment.

  • Strong communication and interpersonal skills for effective collaboration across departments and with external partners.
